Air Conditioning
The Hixson Union Building, Cowles Memorial Auditorium, Seeley Mudd Chapel
and all classrooms are air-conditioned during the summer months. Residence
halls, with the exception of Boppell and Schumacher, and all other buildings,
including our athletic facilities, are not air-conditioned.
Airport Transportation (Spokane International Airport)
A shuttle to and from the airport or train/bus station is available upon request. The shuttle driver will arrange to meet you in the baggage claim area, where you may need to wait for other shuttle passengers. The trip from the airport to campus takes approximately 30 minutes and the shuttle fee is $25 per person (subject to change). Advance reservations are required and cancellations within 24 hours result in a $20 fee.
Alcohol/Drugs
There is to be no on-campus possession, consumption or distribution of alcohol or illegal drugs.
ATM Machine
A cash machine is located on the first floor of the Hixson Union Building
near the post office.
Audio Visual Equipment
Most classrooms are equipped with a computer, LCD projector, TV/VCR, overhead
projector and built-in screen. Slide projectors are available upon request.
All requests for audiovisual equipment must be made in writing to the
Conferences and Special Events office. To ensure the equipment is available,
please make your request no later than three weeks prior to the event.

Billing and Payment
A written itemized final billing of all additional charges will be sent to your Organization indicating receipt of all monies to date and a balance due, if any, payable within 15 days. Interest at an 18 percent per annum rate (1 and ½ percent per month) will be charged on the unpaid balance after this 15-day period. Any alleged error in the billing statement must be reported, in writing, to the Assistant Director of Conferences and Special Events within 15 days of the final receipt or date of billing statement.
Bookstore
Our bookstore is located inside the HUB. It stocks Whitworth clothing,
Christian and general books, CDs, cards and gifts. Typical summer hours
are: Monday- Friday, 10 a.m.-2 p.m.
Buses
Spokane Transit Authority is a regional public transportation agency that
provides connections between downtown Spokane and Spokane International
Airport, major shopping malls and Fairchild Air Force Base. The closest
bus stop is located on the corner of Hawthorne and Division, next to Jack
in the Box restaurant (about ¼ mile from campus). Bus schedules
can be found at the Information Desk located inside the HUB.
Campus Information
The campus information desk is located on the first floor of the HUB;
it provides information on the university and campus-wide events, as well
as current bus schedules.
Catering
Special catering needs can be accommodated through the Conferences and Special Events office. Offerings include options from barbecues and banquets to snack breaks and ice cream socials.
Churches
A guide to area churches is available upon request from any Conference Assistant.
Cohabitation
There is to be no cohabitation on campus. We understand the term "cohabitation" to include genital sexual participation outside marriage, and/or the spending of a night together by two people of the opposite sex who are not married to each other.
Concessionaire Rights
Concessionaire rights for campus events are reserved for the university. Nothing can be sold, given or displayed without prior permission from the Assistant Director of Conferences and Special Events.
Conference Supervision
You will have a CA assigned to your group. Your CA will personally oversee
your event and manage any needs that arise. He or she will check with
your conference planner daily to ensure that your event is running smoothly.
Candles
The use of all candles, burned or unburned, is prohibited in campus facilities.
Damages
Any damage to the university premises caused by your organization or its
participants will be charged to your organization. The amount billed includes
cost of repair or replacement and any loss of income. Your organization
shall be responsible for any damage, or other conditions requiring more
than normal maintenance service or the campus grounds or in any of the
facilities used or occupied by its participants.
Deposits
Your organization shall pay Whitworth University a non-refundable deposit
to confirm the initial reservation, due upon return of signed contract.
Disability Accommodations
Please make your CA aware of any special needs your group may have. We
will work to ensure that all accessibility needs are met. Please allow
adequate time for us to make the proper arrangements.
Early Arrivals and Extended Stays
Participants who need to arrive early or stay past the conference/event
time may need to make arrangements through the CA assigned to your group.
They will be allowed to stay if space permits. The CA will communicate
costs and availability as well as other pertinent information.
Emergencies
In case of an emergency, call campus security at x4444 from a campus phone,
or dial (509) 777-4444. Officers are trained and prepared to help in situations
including emergencies, first aid and room lockouts.
Espresso Delights
Located in the HUB, Espresso Delights offers hot and cold espresso drinks,
as well as Italian sodas, with a variety of flavors. By arrangement with
the Conferences and Special Events office, Espresso Delights is available
during special hours for catered events. Typical summer hours are Monday-Friday,
7:30 a.m.-1 p.m.
Facility Use Fees
Your group will be assessed a daily Facility Use Fee per person. The fee covers the use of campus classrooms, technology, basic set-ups, and coordination/monitoring of your event. It does not cover the cost of special arrangements or set-ups.
First Aid Kits
First aid kits are available. Please notify a CA if you need one.
Food Services
Sodexo is our exclusive food service provider. No other food donated,
catered or purchased by your group may be brought onto campus for group
use. Your CA can help you plan for your dining needs. Snacks and coffee
breaks may be arranged through your CA.

Internet
Two terminals are available for guest use in the HUB. Computers and Internet service are also available through a guest log-in at Harriet Cheney Cowles Library. In addition, wireless access is available at several key points on campus (HUB, library, Weyerhaeuser Hall).
Keys
You will be given your room key upon check-in. The key opens your room door and main door of your residence hall as residence halls are locked 24 hours a day. Room keys not returned at checkout will be deemed lost; replacement cost is $50, payable to Whitworth University.
Laundry
Laundry facilities are available in each residence hall and operate on
a card system. Laundry cards may be purchased in the HUB, Warren Hall
or Baldwin-Jenkins Hall for $5.00 each, payable by cash only. Contact
a CA for more details. Laundry soap and supplies are not provided.
Library
In the summer, Harriet Cheney Cowles Library is open six days a week,
and reference assistance is available weekdays 8 a.m. to 10 p.m. The library
currently offers the use of its resources to walk-in users; however, conferees
cannot check materials out of the building except in certain cases by
special advance arrangements (for example, extended summer workshops of
a scholarly or academic nature). Limited use of computers and Internet
service is available through a guest log-in.
Linens
Sheets and towels, if included in your lodging rates, are exchanged every few days. Signs indicating exchange days and procedures will be posted on each floor of the residence halls.
Liability
Your organization accepts full responsibility for any damage done to school
property and agrees to protect, indemnify and save the university from all
liability resulting from the use of such facility. Any personal belongings
that conference participants bring with them to the university are at their
own risk and are not the responsibility of the college. Further, these
items are not covered by the university insurance coverages.
Liability Insurance (Event)
Your organization shall maintain liability insurance as stated in the contract, throughout the duration of your group's stay at Whitworth, including early arrivals and late departures.

If you forget your key in your room, page Conference Services at (509) 623-7933 or call Security at (509) 777-4444 (or dial 4444 from an on-campus phone). Please be prepared to show identification.
Lost and Found
Should you lose or find an article while visiting the campus, please contact
the Information Desk in the HUB.
Lounges
There is a lounge on each floor of the residence halls. The lounges can
be used for informal gatherings or meetings or as a place for your group
to enjoy some down time at the end of the day. Some lounges have a television
with access to limited local channels. (The HUB offers a lounge with televisions
that have cable channels). Residence hall kitchens have refrigerators
available for your use if needed.
Mail
The campus post office (located in the HUB) has UPS and FED/Ex delivery
as well as a fax machine.

Meeting Rooms and Facilities
Our campus features easy pedestrian access to all facilities. During the summer, a wide variety of meeting rooms and lounge areas are available for use, from our 1,100-seat Cowles Memorial Auditorium to comfortable classrooms that accommodate groups from 10 to 240.
Non-Profit Status
Your organization agrees to provide Whitworth with a copy of your Internal
Revenue Service Exemption Letter indicating that your organization is
incorporated as a non-profit organization (501C3). In addition, proof
of property tax exemption is required, if applicable.
Parking
Parking permits are not required during the summer. You may park in any campus lot.
Pets
In the interest of safety and sanitation, pets, other than those required for handicapped assistance, are not permitted.
Photocopying
A coin-operated copier is available in the HUB (ten cents per copy). Three
more copiers are available in the Harriet Cheney Cowles Library.
Post Office
The university post office is located in the HUB. Open Monday-Friday, 10
a.m.-2 p.m.
Quiet Hours
To be considerate of other guests and the surrounding residential neighborhood, we ask that your group observe quiet hours between 10 p.m. and 8 a.m.
Recreational Vehicles
Recreational vehicles can be used for lodging on campus at a fee of $9
per day. They must be self-contained and registered with campus Security
personnel at (509) 777-4444. Please inform your CA if you plan to use
an RV.
Registration
Registration for conferences is handled by individual conference planners.
Residence Hall Use
Hall furnishings are designated only for that area and are not to be removed or exchanged.
Residence halls are typically co-ed with designated floors and restrooms for each gender. No pets are allowed in the residence halls. Quiet hours are from 10 p.m. to 8 a.m.
Security
Available 24 hours daily, call (509) 777-4444 or x4444 to report problems,
injuries or emergencies. The Security staff will contact the proper authorities
and assist you. Officers are trained and prepared to assist in situations
including emergencies, first aid, stranded motorists and room lockouts.
For an escort by a Security Officer, call (509) 777-4444, or, using a
campus phone, dial x4444. A Security Officer will be happy to escort you
to your on-campus destination.
Smoking
Smoking is only permitted outside buildings on campus.
Student Union Building (a.k.a. Hixson Union Building)
The HUB houses our dining hall, multipurpose room, catering rooms, and
conference rooms. Also located in the HUB are the university bookstore, post
office, public restrooms, telephones, vending machines, campus information
and the Conferences and Special Events office.
Supervision
Groups involving youth must provide adequate, on-site adult supervision. Typically, a 10 to 1 ratio is required.
Tape
All signs and use of tape must be approved prior to display on campus. Painter’s tape is the only authorized adhesive allowed on walls in campus facilities. Please contact the Conferences and Special Events office for consent.
Telephones
Local telephone service is complementary for adult rooms. Dial '9' to access and outside line for local off-campus calls. To call long distance with a calling card, dial '9' and follow the instructions on your card.
Tourist Information
Requests for tourist information can be made to the Conferences and Special
Events office at Whitworth or the Spokane County Convention and Visitors'

Vending Machines
Coin-operated soda, juice and snack machines are located throughout the campus and in several residence halls.
Violence
There is to be no violent or destructive behavior on campus. This prohibition
includes such behaviors as fighting, malicious vandalism and any behavior
that results in destruction or loss of property (including theft) or disruption
of community life. This prohibition also includes behaviors, including
assault, sexual assault and harassment, that cause personal injury.
