REQUESTING NEW LIBRARY RESOURCES


Books, Journals, Databases, or Other Media


INFORMATION FOR FACULTY

General:

Requests for new library resources normally are to be submitted via the library liaison in your academic department.  The liaison is a faculty member, appointed by the department, responsible for coordinating departmental orders or requests for library resources, as well as ensuring that library funds allocated to the department or discipline are spent equitably and/or in line with any priorities set by the department.  In departments that combine several disciplines (e.g., Theology and Philosophy), there may be separate liaisons for each discipline.

If you’re not sure who the liaison is for your department or discipline, ask your chair or a colleague, or contact Debi Kaufman, our Acquisitions Specialist, at phone ext. 4485 or email dkaufman@whitworth.edu.

Requests that do not come through a departmental liaison will be considered only in exceptional cases – for instance, if you have an urgent need and the liaison is not available.

So… talk to your liaison.  Often that’s all you need to know!  Following, however, are some details about procedures for specific categories of library resources.

Books: Each academic department receives an annual budget allocation against which it can request new library books.  Requests must be submitted on a standard book order card (obtain cards from your dep’t liaison or dep’t program assistant, or contact Debi Kaufman – see above). The request card, in addition to spaces for your name (“Requested By”) and department, has a space labeled “Approved By” which must be signed by your library liaison.  The request cards go to Debi Kaufman in our Technical Services department, library room 127, or via campus mail to “Library Technical Services.”

Journals and other continuations: Journals or other continuations (annuals, series, etc.) involving a subscription or standing order can not be charged to departmental allocations.  Because these entail commitments to continuing expenditures in future years, new additions must be specifically approved by me.  Requests are to be submitted on a “Serial Request” form specifically for this purpose.  The form asks for certain information that will help me assess the need and priority for the requested title.

Databases and other online resources: Subscriptions or licenses to fee-based online resources usually involve substantial budget commitments and significant support ramifications.  If you have a request or suggestion in this area, I will be happy to discuss it with you.  Requests must ultimately be supported by the department through the liaison.

Audiovisual and digital media: DVDs, multimedia CD-ROMs, videotapes, etc. (excluding Music CDs – see below) are ordered against a library budget line administered by Judy Dehle, Manager of Instructional Technology & Media Services.  Requests can be submitted to her (via campus mail to “ITMS,” email jdehle@whitworth.edu, or ext. 4382) or to Debi Kaufman (see above under Books).  Since AV & digital media funds are not allocated by department and often must be prioritized according to need and/or recent purchasing patterns, it’s a good idea to discuss requests with Judy before submitting.  Occasionally, I may authorize transfers of departmental book budget allocations or other library funds to cover acquisitions in this category if budgeted funds run short.  Book order cards should not be used for AV or digital media.  If possible, provide the producer’s or distributor’s catalog, advertisement, or web site URL so we’ll have the ordering information we need.  Music CDs are generally ordered against a Music Department allocation and require the Music liaison’s approval.
